Watermarks, page numbers and headers: useful overlays with limits

Add visible labels without covering content, and understand why an overlay does not secure or redact a document.

A visible mark is page content

Watermark, Page Numbers and Header/Footer add visible text to existing PDF pages. They help identify a draft, maintain a sequence or label a document, but they do not encrypt it, prove ownership or securely remove hidden information. Choose them for communication rather than treating them as access control.

Keep an unmarked original. If a document contains sensitive content, placing another word or shape on top is not a secure redaction workflow. The underlying information may still be present in the file or elsewhere in the document.

Add a watermark that remains readable

The watermark tool places diagonal text over the pages with a selected opacity. Short labels such as “DRAFT” or “REVIEW COPY” are easier to inspect than a long paragraph. Bundled script fonts support multilingual wording, but unusual symbols and dense combinations still need output review.

Check both the watermark and the original text beneath it. A label that makes the recipient unable to read the document defeats its purpose. Review small pages and landscape pages separately because their usable diagonals differ.

Number pages after their order is final

Choose a starting number and a supported position in Page Numbers. The tool draws an overlay; it does not create a reserved margin or understand a document's printed section numbering. Settle extraction, deletion, merging and reordering before applying the final numbering.

For a synthetic packet with a cover and three content pages, decide whether the visible numbers should include the cover. Then compare the output with that decision. The viewer's page index and printed page labels can intentionally differ, but the reader should not have to guess which reference you mean.

Header/Footer supports custom text with {page} and {total} placeholders. A label such as Review copy — {page}/{total} can make a packet easier to track. The wording is drawn over the page rather than moving existing content down or up.

  1. Inspect available space at the intended top or bottom position.
  2. Enter a short label and choose a readable size.
  3. Convert and inspect the first and last pages.
  4. Check a page with a title or footnote near the chosen position.
  5. Confirm every placeholder was replaced with the intended page value.

Long text is fitted to the available width, but a smaller font may become hard to read. Simplify the wording instead of relying on extreme shrinking.

When margins are appropriate

Margin Editor can add space around page content. In this implementation it increases page dimensions, so confirm whether the recipient requires a fixed size before using it. A final Resize PDF step changes geometry again and should be reviewed.

Document-level features such as forms and certificate signatures need separate attention after rewriting. A visible signature may still look unchanged while an original certificate-based signature no longer validates. Keep that signed original and use an appropriate signature-validation workflow when authenticity matters.

Verify the actual purpose

For draft identification, check that the label is visible on every intended page. For page references, check numbering and the final sequence. For confidential-content removal, stop and use a genuine redaction workflow; this site does not provide a redaction tool. These are distinct outcomes even when all involve drawing something on a page.

Open the download in another reader before sharing it and preserve the unmarked version for future corrections.
