A searchable PDF is not automatically accessible

OCR can add recognized text to a scanned page so a reader can search or copy words. It does not, by itself, supply a reliable heading structure, correct reading order, alternative text for illustrations or properly associated table headers. PDF Master Pro's searchable-PDF option preserves a rendered page with a recognized text layer. It does not claim PDF/UA certification or a completed accessibility evaluation.

This distinction matters when a document is intended for a screen reader, an examination accommodation or an accessibility requirement at work. A visual match to the scan is useful, but it cannot show whether assistive software receives the information in a meaningful sequence.

Check whether OCR is needed

Open the original and try to select a sentence. Copy it into a plain-text editor. If the words and their order are sensible, PDF to Text may be sufficient. Running OCR over an already correct text layer introduces another opportunity for recognition errors. If selection produces nothing, individual letters are wrong or the page is only an image, try OCR PDF on a representative page.

A PDF can contain both kinds of page. For example, a typed covering letter may be followed by a scanned form. Check each part instead of assuming that the entire file needs the same treatment.

Choose the document language, not just the interface language

The OCR tools include models for English, Hindi, Spanish, Brazilian Portuguese, French, German, Arabic, Indonesian, Japanese and Korean. The document-language selector determines the recognition model. English is also recognized alongside a selected non-English model. Changing the interface is not a reliable way to describe the contents of a different-language document; inspect the selector explicitly.

Handwriting, faint scans, skewed text and dense tables can still produce errors. A supported language is not a promise that every font or scan will be recognized correctly.

A practical review sequence

  1. Keep the untouched source and start with a clear sample page.
  2. Choose Text File if you only need the words, or Searchable PDF if the visible page must remain available.
  3. Compare a name, a date, a number and a sentence with the scan. Check characters such as O/0 and I/1.
  4. Search for a word you can see on the page. Copy a paragraph into another application and inspect its order.
  5. Test a multi-column section and any table separately. A search result does not prove the complete reading order is correct.

For a two-column newsletter, correct words can still be read across both columns as if they were one sentence. For an invoice, the amount may be recognized but associated with the wrong label. Those are structural errors, not spelling errors, and need separate attention.

When another workflow is required

If you control the original Word or publishing document, correct its headings, table structure and image descriptions there, then export using an accessible-document workflow. If only the scan exists, arrange remediation and evaluate the result with appropriate accessibility tools and assistive technology. This site does not supply that full remediation workflow.

Keep searchable originals before using Compress PDF or Grayscale PDF, since those tools render page images and can remove an existing text layer. The relevant success measure is whether the recipient can find, understand and use the information, not whether a download button appeared.
