Page management
Choose a PDF workflow without losing important information
Decide when to organize, convert, compress or sign a PDF, with checks for text, tables and document features.
Product guidance with practical limits. Editorial policy · How we check the tools
Decide what must survive before choosing a tool
A smaller or more convenient file is useful only if it preserves the information the recipient needs. Before processing a PDF, decide whether searchable text, financial values, page dimensions, forms, links or signatures must survive. These requirements lead to different workflows. PDF Master Pro performs separate browser-based operations; it does not know which features are essential to your task.
Keep the original in a separate folder. Give intermediate results clear names such as application-selected-pages.pdf and application-compressed-review.pdf. Avoid replacing the source immediately after a successful download.
Organize pages before creating final references
Use Merge PDF to combine documents, Extract Pages to select a subset, and Reorder Pages to change a sequence. Review the page list before adding final page numbers or bookmarks. If you number pages first and then remove two pages, the visible numbers and the viewer's page index can disagree.
Suppose you need a covering letter, two statement pages and a certificate. Extract the statement pages, merge the three inputs in the required order, inspect the combined result, then add page numbers. Keep the full statement privately; sending an unnecessarily large original also exposes information the recipient did not request.
Choose text or images deliberately
Use PDF to Word when the next step is editing actual text. It creates DOCX text and reconstructs supported table and page structure, with practical layout limits. Scanned text uses OCR and needs additional proofreading. A page-sized picture placed inside a Word file would preserve appearance, but would not satisfy an editable-text requirement.
JPG and PNG exports are pictures of pages. They are suitable for previews and some submission workflows, but do not preserve selectable PDF text. PDF to Text is simpler when layout is unimportant. PDF to Excel estimates rows and columns from text positions; it does not recover the original workbook's formulas.
Check spreadsheet values independently
A plausible-looking table can hide mistakes. Compare its headings, a row near the top, a row near the end, negative values and important totals against the PDF. Preserve identifiers such as 00123 as text when those zeros have meaning. Treat bank/GST extraction as a draft for reconciliation, not a financial verification service.
If the source is a scan, OCR output is not automatically a clean spreadsheet. Establish that the text is correct before manually structuring it or moving it into another application.
Reduce size after the content is settled
Compress PDF renders pages and encodes them as JPEG images at a selected quality. It can remove searchable text and interactive features. If the generated file is not smaller, the tool returns the original. Check the output in another reader at normal and enlarged zoom, particularly fine print and small numbers.
Resizing and grayscale have different purposes. Changing page geometry does not guarantee a smaller file, and grayscale does not preserve a searchable text layer in this implementation. Choose them for the actual recipient requirement rather than using every optimization tool in sequence.
Add visual marks last and inspect the result
Watermarks, headers and page numbers overlay content. Place them where they will not cover information. The signature tool adds a visible signature image; it does not create certificate-backed identity verification. Rewriting a previously digitally signed PDF may affect signature validity, so preserve the signed original and verify it in an appropriate reader.
Before sharing, check page count, orientation, text selection, non-Latin characters and the exact downloaded filename. If a file fails, use a smaller representative sample before repeating a large batch. Describe the tool and the error when contacting support, without sending passwords or confidential documents.
